When you get 45,000 people together, you've got to have a few rules. Please keep these show policies in mind as you plan you trade show visit.
To ensure the safety of and enjoyment for all attendees and exhibitors at the show, we appreciate your cooperation in adhering to the show policies below.
All persons planning to attend Natural Products Expo must be registered. Natural Products Expo is a private trade show open to the trade only, and not open to the public. Individuals who cannot document their direct, professional affiliation to the trade are not qualified to attend the trade show.
Proof of Business must be presented in order for you to be registered for Natural Products Expo. You must present business credentials to qualify your store/company. Accepted forms include a retail tax license, a current Yellow Pages ad, product catalog, web site that directly sells products to an end consumer, business card that has info of retail practices, order forms showing multiple products lines (in the case of Distributors, Importer/Exporters or Brokers) or medical license (in the case of Health/Practitioners).

Announcements are only made for lost children. Message boards and lost and found are available at the Show Management Office. We encourage attendees, if separated from their group, to designate the Show Management Office as the location to meet.
Children under 18 are not allowed on the show floor during move-in and move-out. Children over 12 years old must be registered as an attendee/exhibitor. Children 12 years and younger are required to have a Children's Badge at all times. These badges are available in Registration.
Company promotion, sample and literature distribution by exhibitors must be done within their contracted exhibit space, with the exception of designated sponsorships and marketing opportunities. It has been determined from both attendee and exhibitor feedback that one sample bag per day is sufficient for buyers to bring home product and literature from the show floor. Therefore, each attendee is permitted to exit the show floor with one sample bag per day. Additional bags will be donated to local food banks and charities. At the close of the show on Sunday, exhibitors can donate their remaining product to the local food bank or authorize an attendee to take the product with them. In the instance an exhibitor would like to authorize an attendee to take a large quantity of product samples that exceed more than one sample bag, the exhibitor and attendee must visit the Freeman Service Center prior to the close of the show floor at 4:00 pm. At this time, the exhibitor must complete either an Outbound Material Handling Form to send the product home with the attendee or a Bill of Lading to ship the product to the attendee. Freeman will provide further instructions to the attendee on pick-up location and time. Product may not be sold to an attendee.
All meetings, events and seminars must be registered with Expo Show Management. Meetings, events and seminars not designated or organized as a part of the show, are not permitted during show floor hours or Expo hosted events. Events, seminars and meetings must be registered and approved by using the Related Events Form found online at www.expowest.com. Exhibitors have the option to publish their meeting or events on the Expo website or indicate on the form it is a private event. If it is indicated as a private event, it will not be published on the website. Exhibitors wishing to organize a seminar are encouraged to do so through the Exhibitor Presented Seminar program, in which they receive promotion to all show attendees through the website, show directory, and onsite schedules and signage (deadlines apply).
All Natural Products Expo areas are non-smoking. Anyone who wishes to smoke may do so outside of the building. We appreciate your cooperation.
Exhibitors are permitted to photograph and/or video tape their own booth. Working members of the press are required to check-in at the Press Room, receive an authorization sticker and be escorted by the Press Room staff in order to photograph and/or videotape at the show. No other photography or videography is permitted. Exhibitors who do not want the press to photograph or video tape their booth should inform the Press Room staff onsite.
Exhibitors are encouraged to bring their press media kits to the Press Room on Thursday, between 8:00 am-4:00 pm. Exhibitors can also contract a Press Media Box (display case) to show product in the Press Room. Access to the Press Room (beyond exhibitor set-up for media kits and display case on Thursday), is permitted to working members of the press only.
For safety reasons, rolling carts, rolling bags, strollers, and bags with wheels are not permitted on the show floor during show floor hours. Coat Check is available to store these items. Exhibitors may roll in small briefcases and small backpacks prior to the show floor opening each day from 7:00-10:00 am. Please go to the Show Management Office with any onsite questions or needs.
Only contracted exhibitors are permitted to promote their products, services or company at Natural Products Expo. Unless a marketing opportunity (i.e., sponsorship, showcase, exhibitor-presented seminar) has been contracted by the exhibitor, all company promotion and product sampling must occur within the contracted booth space. This includes, but is not limited to "roaming" characters, handing out flyers, approaching exhibitor booths to sell products, leaving and/or distributing product information in public spaces and show floor aisles. Exhibitors found doing so will be sent back to their booth space and materials left will be recycled. Attendees will be asked to leave the show and forfeit their badge. Any "suitcasers" should be reported to the Show Management Office.
