It is our goal to ensure the safety of and enjoyment for all attendees and exhibitors at the show. We appreciate the cooperation of all who attend or otherwise participate in the event. All Show policies are subject to change in Show Management's sole discretion.

Registration 

We are expecting 65,000 attendees at our 2025 show.

Natural Products Expo is a trade only show and is not open to the general public. Individuals who cannot determine their direct, professional affiliation to the trade are not qualified to attend the show. All persons planning to attend Expo West must be registered.

Natural Products Expo West and New Hope Network require a unique email address be provided for all registrations to attend our in-person events. The unique email address is required to manage our directory of all attendees. It is also used by exhibitors and attendees to effectively provide follow up post event with people who scanned your badge, and provide the attendees a list of exhibitors that they visited onsite.

By registering and providing your contact information, you acknowledge and agree to the use by Informa of your contact information to communicate with you about events, products, services and offerings by Informa, its brands, affiliates, and/or third-party partners, consistent with Informa's Privacy Policy (accessible at https://www.informamarkets.com/privacy-policy).

In addition, you understand that your personal information may be shared with any sponsors of the show, so they can contact you directly about their products or services. Please refer to the privacy policies of such sponsors for more details on how your information may be used by them. Your personal information may also be shared with other participants in the show.

Refunds will not be issued for any costs accrued through official Natural Products Expo West 2025 registration, including Exhibit Hall badge prices and paid upgrades. 

In the event that you lose or forget your badge there will be a reprint fee for a replacement badge. To have a replacement badge printed please go to registration with your identification, and one will be printed for you as detailed below:

Reprint Badge fees are:
Retailer: $60.00
Non-Retailer: $150.00
Exhibitor: $100.00

No name changes on badges will be accepted after a badge has been printed.

Yes. Please review the Child Policy thoroughly. Children 15 years and younger are required to have a Children's Badge and must be under adult supervision at all times. If a child is found without adult supervision they will be escorted from the show floor and taken to the show office, and their badge will be confiscated. If we are unable to reach the registered adult we reserve the right to contact the local police department to supervise them. You will be required to present proof of age (i.e. birth certificate, government/state issued ID). Only one Children's Badge will be issued per registered adult. Childcare is available on-site for $35/day through our partner, Kiddie Corp. ALL Childcare and Child badges must be handled at Child Registration. Child badges are available on-site for $55. All children on the trade show floor must have a badge and must be under adult supervision at all times. No one under 18 years of age will be allowed on the show floor during move-in and move-out.

Anyone 16 years and older must qualify to register as an attendee or exhibitor and will be required to show business proof (see our approved categories).

We also do not permit attendees to distribute literature or samples throughout campus. Attendees found doing so, will be asked to leave the show and forfeit their badge.

 

NEW for 2025: we have adjusted the show schedule to fit the needs of our industry! Our goal with this schedule change is to increase ROI for Exhibitors, reduce crowding, allow space for more buyer-only hours, and simplify the product discovery journey! It has been determined from both attendee and exhibitor feedback that one sample bag per day is sufficient for buyers to bring home product and literature from the show floor. Therefore, each attendee is permitted to exit the show floor with one sample bag per day.

At the close of the show on Friday, exhibitors can donate their remaining product to the local food banks and charities or authorize an attendee to take the product with them.

In the instance an exhibitor would like to authorize an attendee to take a large quantity of product samples that exceed more than one sample bag, the exhibitor and attendee must visit the GES Service Center prior to the close of the show floor at 2:00 pm. At this time, the exhibitor must complete either an Outbound Material Handling Form to send the product home with the attendee or a Bill of Lading to ship the product to the attendee. GES will provide further instructions to the attendee on pick-up location and time. Product may not be sold to an attendee.

For safety reasons, rolling carts, rolling bags, strollers and bags with wheels are not permitted on the show floor during show floor hours, except where such carts or bags are a medical necessity. Numerous bag checks are available throughout the Expo West campus to store these items.


Education

No, childcare is available on-site for $35/day through our partner, Kiddie Corp. ALL Childcare and Child badges must be handled at Child Registration. Anyone 16 years and older must qualify to register as an attendee or exhibitor and will be required to show business proof. See full child policy here.

This service guarantees you a set rate and also puts you in a hotel within walking distance to the ACC or near a free shuttle that will take you there. Exhibiting and Sponsorship

Whether the objective of your show is to educate attendees, launch a new product line, or dominate the category, your booth space is only one piece of your company’s ability to draw attention to your products or services.

An annual Beacon Discovery subscription is included with your booth costs. CPG products should be uploaded before the show for maximum visibility by attendees.

Sampling is a critical and core component of Expo West and we work closely with local authorities to ensure we’re able to sample in a safe and productive manner.

If you are conducting open sampling in your booth, you are required to adhere to the protocols outlined on the Sampling Regulations. For more information please reference the Exhibitor Service Kit in your Exhibitor Console or email Client Services.  

Company promotion, sample and literature distribution by exhibitors must be done within their contracted exhibit space, with the exception of designated sponsorships and marketing opportunities.

Only contracted exhibitors are permitted to promote their products, services or company at Natural Products Expo West. Unless a marketing opportunity (i.e., sponsorship, showcase, exhibitor-presented seminar) has been contracted by the exhibitor, all company promotion and product sampling must occur within the contracted booth space.

This includes, but is not limited to "roaming" characters, handing out flyers, approaching exhibitor booths to sell products, leaving and/or distributing product information in public spaces and show floor aisles, all of which are prohibited. Exhibitors found doing so will be sent back to their booth space and materials left will be recycled. Any "suitcasers" should be reported to the Show Office.

All meetings, events and seminars must be registered with Informa d/b/a Natural Products Expo West ("Expo Show Management"). Meetings, events and seminars not designated or organized as a part of the show, are not permitted during show floor hours or Expo West hosted events.

Events, seminars and meetings must be registered and approved by using the Exhibitor Hosted Events Form. Exhibitors have the option to publish their meeting or events on the Expo West website or indicate on the form it is a private event. If it is indicated as a private event, it will not be published on the website.

Exhibitors wishing to organize a seminar are encouraged to do so through the Exhibitor Presented Seminar program, in which they receive promotion to all show attendees through the website, and onsite schedules and signage (deadlines apply).

Before the show, buyers can identify which products they want to see on the show floor and navigate easily to their booth on site. Beacon Discovery lets brands upload key information like ingredients, values, and mission, where retailers can use 100+ filters and SPINS categories to find the products they're looking for. It's available year-round to retail buyers and investors to search for products – even from brands not exhibiting at Expo.

All products are required to meet the same standards as our show floor, so you can trust you're seeing products that are right for your store. When the Expo West 2025 mobile app is released, those favorites will be highlighted on your show map, helping you prioritize conversations, navigate effortlessly and maximize your time at the show.

Exhibitors can use Beacon Discovery to enhance their Expo West presence by making their brand and CPG products easily discoverable by buyers before, during, and after the show. By uploading key information like ingredients, values, certifications, and mission, exhibitors give buyers the ability to identify which products to explore and navigate directly to their booth. Additional Information

All Expo West areas are non-smoking. Anyone who wishes to smoke may do so outside of the building. We appreciate your cooperation.

Pets are not allowed at Expo West. The only exception is for service dogs, which must be kept under control at all times. Please contact Customer Service with questions.

You hereby agree to defend, indemnify, and hold harmless (and to the maximum extent permissible under applicable law, you hereby expressly release and discharge) (i) Penton and its equity owners and affiliates; (ii) the Show facility and its owners, affiliates, lessors and lessees; and (iii) official exhibit service contractors and security services (all of the foregoing in clauses (i) through (iii), collectively, "Show employees, agents, contractors, and representatives (collectively, "Representatives") from and against any and all alleged and/or actual claims, actions, lawsuits, proceedings, damages, penalties, demands, losses, expenses, fees (including reasonable attorney fees), costs or liabilities of any kind or nature whatsoever (collectively, "Claims"), including but not limited to any Claim for property damage and/or personal injury, in connection with, caused by or arising out of the attendance at and/or participation in the Show by (A) you, (B) your Representatives (or any other party acting on your behalf), or (C) any of your servants, invitees, patrons or guests (all of the foregoing in clauses (B) and (C),collectively, "Related Parties"), whether as a result of (i) your or any Related Party's act, omission, negligence or willful misconduct, (ii) your or any Related Party's violation of any policy of, or breach or alleged breach of any agreement with, Penton or any other Show Provider, (iii) your or any Related Party's violation of any applicable law, regulation, rule, or ordinance, (iv) your or any Related Party's infringement of any third party rights, including without limitation, the infringement of any patented, trademarked, franchised or copyrighted music, materials, devices or dramatic rights used or incorporated in the Show by you or any Related Party, or (v) otherwise, and in each case, whether or not foreseeable. This provision shall survive any termination or expiration of this agreement.

Any attendee of Natural Products Expo West—including exhibitors and/or qualified press—who wishes to photograph or film at the show is required to check in at the Press Room onsite to sign a waiver and receive authorization upon each day of filming.

Live TV and nationally syndicated film crews must check in at the Press Room to receive an authorization sticker and must be escorted by a member of the press room staff in order to photograph and/or videotape at the show.

Private consultants who are paid by an individual company are not eligible for a press badge, and should request a badge from the sponsoring company. See press room personnel for complete information on qualifying for a press badge. Exhibitors and their private consultants are permitted to photograph and videotape their own booth only.

Photographers and videographers are required to obtain permission before filming any exhibitor's booth and must refrain from filming those who do not grant permission.

Qualified press who have obtained press passes and are photographing and/or filming at the show may not, under any circumstances, solicit payment from exhibitors for service. Those who are found to be soliciting payment will have their press passes immediately revoked, and may be banned from future events.

Filming, videotaping and photography are prohibited at all events, education and seminar sessions, including keynote presentations. Exhibitors and their private consultants may film, photograph and/or videotape their own exhibitor-presented seminar(s) only.

Attendee indemnifies and holds harmless New Hope Network and Informa Markets, their respective parent, subsidiaries and affiliates, with respect to any claims from any third party claims whatsoever arising from attendee's media activities under this waiver.

Photographers and videographers are required to ask permission before filming and must refrain from filming those who do not grant permission. Exhibitors are permitted to photograph and videotape their own booth only. Exhibitors who do not want the press to photograph or videotape their booth should inform the Press Room staff onsite.

No other photography or videography is permitted. We reserve the right to refuse entrance to any photographer/videographer.

Each exhibitor and attendee of the Show (i) authorizes Show Management (and its officers, directors, officials, employees, agents, contractors and representatives) to photograph and/or record all or any part of the Show and (ii) grants Show Management the worldwide, perpetual, royalty free right and license to reproduce, distribute, transmit, publicly perform and publicly display all such photographs and recordings, including without limitation, the name, images and likenesses of attendee or exhibitor contained therein (and any derivative works thereof) in any medium (now existing or hereafter developed).

Announcements are only made for lost children. Message boards and lost and found are available at the Show Office. We encourage attendees to designate a meeting spot in the case your group becomes separated.

The use of drones, UAV’s, hoverboards, wheeled transport devices and similar devices are strictly prohibited on the Show floor, as well as all outside areas of the Convention Center (except for mobility devices required by persons with disabilities). The show has undertaken reasonable efforts to ensure that the show will be a safe environment for all attendees, and the prohibition on drones, UAV’s, hoverboards and similar devices is consistent with standards and practices for general safety.
